This document describes the dissemination of data received from
external parties through the proposal / assessment / observing process.
Proposal Dissemination
Proposals are stored in a database located at the Joint Astronomy
Centre. They are sent to the following recipients during the assessment
process:
(i) a JAC support scientist for technical assessment;
(ii) an external referee who may be anywhere in the world;
(iii) the UKIRT Time Allocation Group of the STFC Panel for Allocation
of Telescope Time; and
(iv) STFC in the UK for printing and long-term storage.
Because PI and Co-I names, email addresses and institution locations
are included in the proposal, that information will have been disclosed
to all the above individuals by the end of the time-allocation process.
Proposals will not be sent to any destination not in the above list.
Since PIs will also have registered as a user of the Northstar system,
your name, email address and institution are also stored in a user
database. This information will not be sent outside the JAC (unless the
server is ever relocated).
Proposal Storage
For reasons of audit, reporting, semester-to-semester comparison and
the support of successful proposals through the semester, proposals are
stored on the JAC server for long periods (many years).
