SUMMARY OF DUTIES:

Regular, Part-Time (50% FTE), RCUH Non-Civil Service position with the Joint Astronomy Centre (JAC), located in Hilo, Hawaii. Continuation of employment is dependent upon program/operational needs, satisfactory work performance, and availability of funds.

Carries out reception duties and a wide variety of clerical tasks for the Administration Group of the JAC.  Performs a variety of administrative support duties as a member of the HR Administration Group.  Assists with the routine day-to-day clerical and administrative functions associated with attending to the front desk.  Provides administrative HR support to aid with recruitment, performance evaluations, and employment-related issues. Performs word-processing, filing, ad hoc and ongoing administrative tasks as required to provide support to JAC HR staff.

REPORTS TO:  JAC Senior Human Resources Associate (Susan O’Neal)

SUPERVISES:  None.


BUDGETARY FISCAL RESPONSIBILITY: 

Budget/Fiscal Responsibilities are important and may affect JAC if work is not done in a timely and accurate manner consistent with standards, policies, and regulations.  Work is reviewed and/or approved by higher authority.


LEVEL OF INTERACTION:

Works under close supervision in an office environment as part of the HR Administration Group.  Interacts regularly with JAC staff, at all levels and with drop-in visitors and astronomers from throughout the world.  Needs to be an effective communicator and work well with others.  Required to meet regular deadlines.  Work is reviewed and/or approved by higher authority. 

MAJOR DUTIES & RESPONSIBILITIES:

25%  1.
Operates cordless switchboard.  Screens and directs individuals to the appropriate JAC staff member. Receives walk-in public and official visitors at the JAC Hilo Office.
                

25%  2. Works in conjunction with the JAC HR Associate in scheduling of the JAC vehicle fleet departure and arrival times for staff and visiting observers.  Confirms summit meal and accommodation reservations at Hale Pohaku.  Maintains and updates all associated records


5%    3.
Maintains stock of office stationary and equipment.  Communicates with HR Associate to re-order supplies as needed.


20%  4.
Sorts and distributes incoming mail and dispatches outgoing mail.  Processes shipments via FedEx, UPS, etc.


15%  5.
Office Administration:  Organizes and maintains a central filing system (updates file list, opens new files, files papers).  Performs variety of clerical duties in support of the HR Group; typing, word processing, photocopying and faxing of documents as needed.  Distributes notices to staff as required.


10%  5. Outreach:  Assists the JAC Science & Education Outreach Specialist with a variety of public outreach activities and projects.  Files, photocopies, and prepares materials.


          7. Performs other duties as assigned.


MINIMUM QUALIFICATIONS:

Education:  High School Diploma.

Experience
:  At least two (2) years of general experience working in an office environment.

Knowledge:  General knowledge of office practices and procedures.

Abilities and Skills
:  Ability to operate office equipment such as computers, photocopiers, printers, fax machines, and switchboard. Proficient with word processing and spreadsheet software (Microsoft Word & Excel).  Accurate keyboarding and 10-key skills.  Able to communicate well both orally and in writing.  Good organizational skills.  Needs to be flexible.

Physical and/or Medical Demand:  Able to lift up to 20 pounds.


DESIRABLE QUALIFICATIONS:

Proficiency with Microsoft Access.  Experience with using a telephone switchboard.
